We collect the minimum information needed to process orders, meet our record-keeping obligations and answer technical enquiries. We do not sell personal information, and we do not share it for advertising purposes.
1. Information we collect
Information you give us. Name, email address, telephone number, billing and delivery address, institutional affiliation, and the content of any message you send. We do not accept card payments and never ask for card details. Orders are settled by direct bank transfer, so the only payment information we hold is the reference shown on the transfer.
Information collected automatically. IP address, browser type, device type, pages viewed, referring page and timestamps. This is standard server log data used for security monitoring and to understand aggregate site usage.
Order records. Products purchased, quantities, lot numbers supplied, dispatch dates and correspondence relating to the order.
2. How we use it
To process and dispatch your order, reconcile your bank transfer, and provide tracking information.
To answer technical, documentation and compliance enquiries, and to supply certificates of analysis for lots you have received.
To maintain batch traceability records, so that a lot supplied to you can be matched to its analytical documentation at any point in the future.
To detect and prevent fraud, secure our systems, and comply with our legal and record-keeping obligations.
To send batch release notifications, but only where you have expressly asked to receive them. Every such message contains a one-click unsubscribe link.
3. Legal basis
Where the General Data Protection Regulation or a comparable framework applies, we rely on: performance of a contract, for order processing and delivery; legitimate interests, for security, fraud prevention and traceability; consent, for marketing communications; and legal obligation, for tax and commercial record retention.
4. Sharing
We share personal information only with parties that need it to deliver our service: our bank, shipping carriers, and providers of hosting, email and order management infrastructure. Each is bound by contract to process data only on our instructions.
We may disclose information where required by law, court order or a lawful request from a regulatory authority. We do not sell personal information, and we do not share it with advertising networks or data brokers.
5. Retention
Order and batch traceability records are retained for seven years to meet commercial and tax record-keeping obligations. Marketing contact details are retained until you unsubscribe. General enquiry correspondence is retained for two years.
6. Security
The site is served over TLS. Access to order and customer records is restricted to personnel who require it, logged, and protected by multi-factor authentication. Because orders are settled by direct bank transfer, no card data is ever collected, transmitted or stored by us.
No system is perfectly secure. If a breach affecting your personal information occurs, we will notify you and the relevant supervisory authority as required by law.
7. Your rights
Depending on where you live, you may have the right to access the personal information we hold about you, correct inaccuracies, request deletion, object to or restrict processing, withdraw consent, and receive your data in a portable format.
If you are in the United Kingdom or the EEA, the UK GDPR and EU GDPR give you the rights listed above, together with the right to lodge a complaint with a supervisory authority. In the UK that is the Information Commissioner’s Office (ico.org.uk); you may also complain to the regulator where you live. Where we rely on consent you may withdraw it at any time, which does not affect processing already carried out. We do not use your personal information for automated decision-making or profiling that produces legal effects.
Where personal information is transferred outside the UK or EEA — for example to a hosting, email or order-management provider — we apply the safeguards required by law, such as an adequacy decision or the UK International Data Transfer Agreement.
California residents have the right to know what categories of personal information we collect and disclose, to request deletion, and not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined under the CCPA.
To exercise any right, contact help@caspiansynthetics.com. We respond within 30 days and may need to verify your identity first. Note that we cannot delete order records we are legally required to retain.
8. Cookies
We use strictly necessary cookies to maintain your session and cart state, and privacy-respecting analytics to understand aggregate site usage. We do not use third-party advertising or cross-site tracking cookies. You can block cookies in your browser, though session-dependent functions may stop working.
9. Changes and contact
We will post any material change to this policy on this page and update the date shown above. Continued use of the site after a change constitutes acceptance of it.
